Email reports

TellDone can send your reports directly to your inbox so you do not need to open the app to stay updated.

Setting up email reports

  1. Go to Settings
  2. Find the Email Reports section
  3. Toggle on the reports you want: Daily, Weekly, Monthly, Yearly (each report type can be toggled independently)
  4. Reports are sent to your account email by default

You can also configure a forward-to address: TellDone will send reports to a different inbox. The new address must be verified by clicking a confirmation link before it starts receiving reports.

What email reports include

Each email contains the same content as the in-app report, with markdown rendered as HTML:

  • Key metrics at the top
  • Full AI narrative sections
  • Task lists, events, and links
  • Clean, readable format

Subject and body language

  • Email subject is in your app locale (UI language).
  • Email body is in your content language (the language you speak). If your interface is English but your content language is German, you get an English subject and a German body.

Email subject formats

  • Daily: "John, Daily report . March 3 -- 19/26 tasks"
  • Weekly: "John, Week 9 · Feb 24 - Mar 2 -- 12/18 tasks 🟢"
  • Monthly: "John, February 2026 -- 208 tasks, 🔋" (battery icon color reflects burnout status: green OK, yellow Watch, red Alert)
  • Yearly: "Yearly Summary (2025-01-01)"

The yearly email contains the narrative markdown and data appendices as rendered HTML. Unlike daily, weekly, and monthly emails, it does not include a tile grid, a burnout badge, or a "View in app" button.

Free users do not receive reports. Basic gets daily only. Pro and Ultra get all four.

Note forwarding (separate feature)

Pro plan and above

Note forwarding is available on Pro and Ultra plans only.

In addition to periodic reports, TellDone can forward your processed note data via email right after each recording:

  1. Go to Settings > Forwarding
  2. Toggle on note forwarding
  3. Choose what to include: notes, tasks, events, transcripts
  4. Optionally add a secondary email address (requires verification)

Each forwarded item arrives as a separate email:

  • Notes: "[Note] Your note title"
  • Tasks: "[Task] Your task title"
  • Events: "[Event] Your event title"

On the Ultra plan, forwarded emails include links to the original audio recording.

Sending notes to TellDone by email

You can also create notes by sending email to your TellDone forwarding address:

  • Forward any email to your TellDone address and the body becomes a note. TellDone runs the same AI analysis it runs on voice notes (extracting tasks, events, tags).
  • Audio attachments (Pro and Ultra only) - if the forwarded email has an audio file attached, TellDone processes it as a voice note: it transcribes, analyzes, and creates the note from the audio content.

Email reports and note forwarding are different features. Reports are periodic summaries (daily, weekly, monthly, yearly). Forwarding sends individual note data immediately after each recording, or lets you create notes by emailing TellDone.
